Donor, Potential Donor, & Volunteer Data Privacy

Haven Housing adheres to the Association of Fundraising Professionals Donor’s Bill of Rights.

Why Haven Housing Collects Data: Haven Housing collects and maintains data on donors, potential donors, and volunteers that help us build meaningful relationships, assist donors and volunteers to meet their philanthropic goals, and raise the resources necessary to advance our mission.

What is Collected: Data collected may include:

  • Contact Information: name, mailing address, phone number, email address, social media handles

  • Donation Information: amount of donation, date, payment method (including copies of checks), any restrictions associated with the donation.

  • Volunteer information: if you have volunteered, volunteer background checks, the number of hours, and volunteer assignments

  • Communication: your comments, requests, and correspondence with Haven Housing staff

  • Relationships: such as current or past employer, place of worship, spouse and family members, relationships with other volunteers, donors, or staff.

  • Information from modeling and wealth screening firms.

Haven Housing’s website, requests for donations, and volunteer opportunities are not intended for children under 13 years of age. No one under age 13 may provide any information to the organization or via our website without parental consent. We do not knowingly collect personal information from children under 13. If you are under 13, do not use or provide any information on this website, including your name, address, telephone number, email address. If we learn we have collected or received personal information from a child under 13 without parental consent, we will delete that information. If you believe we might have any information from or about a child under 13, please contact us at info@havenhousing.org.

How information is collected:

  • Provided by a person: Donor, potential donor, and volunteer data is provided by a person when they make a donation, register for an event, submit an application to volunteer, or email, call, or speak with staff about their interest in supporting Haven Housing’s mission. A donor, potential donor, or volunteer may request a change to their information, such as a name or address change, at any time by emailing info@havenhousing.org or calling 612-588-0861 and speaking with Donor Services.

  • Publicly available data sources: Haven Housing may learn about a person or a company from publicly available data sources, such as websites, LinkedIn, WhitePages, or property records.

  • Provided by a third party: Haven Housing may record data from third-party sources, such as the National Change of Address (NCOA) data or wealth screening tools.

How information is stored and used: Haven Housing uses Blackbaud Raiser’s Edge NXT to store donor, prospective donor, and volunteer information. Data may also be stored in spreadsheets or written documents as needed to facilitate projects that advance the organization’s mission, such as sending an annual report. Donor, prospective donor, and volunteer information is inactivated after 10 years since the last engagement and may be stored permanently as part of the organization’s record of public support, unless the donor, prospective donor, or volunteer requests otherwise.

Donor and volunteer data is used to maintain records of donations, send tax-acknowledgement communication and other information about the impact of your gift or service, send newsletters, and invite future engagement. Haven Housing does not sell, trade, or share donors’ or volunteers’ private information with other organizations.

We will add you to our postal and e-mailing list unless you request otherwise. You may opt-out of mail, email, or phone communication from us at any time, now or in the future. You may opt-out of email communication using the unsubscribe link at the bottom of marketing emails from Haven Housing and you may opt-out of any type of communication by sending the request to info@havenhousing.org or calling 612-588-0861 and informing staff in Donor Services.

Unless a donor has requested anonymity, Haven Housing may publish donor names. Donors may request anonymity when they make their donation or at any point after a donation is made. When a donor requests anonymity, that request is assumed to be permanent and applied to all future giving, unless they instruct Haven Housing otherwise. When a donor requests anonymity, their name will not be publicized as a donor to Haven Housing. Haven Housing may report anonymous donations as individual transactions without personally identifying information or in aggregate (i.e. 10 anonymous donors gave $10,000).

Haven Housing may ask donors and volunteers to share their connection to the organization or motivation for giving to inspire others. This content will not be shared without the consent of the individual. Haven Housing will also never publish the exact amount of a donor’s gift without their consent.

Protection of Information: Haven Housing discloses personally-identifying information only to those of its employees, contractors, volunteers, and affiliated organizations (such as a printer providing direct mail services) that

  • need to know that information in order to fulfill their responsibilities to Haven Housing’s mission or to provide professional services

  • have agreed not to disclose it to others.

Institutional funders or potential funders regularly ask for information on funding sources for Haven Housing programs. When acceptable, Haven Housing provides this information in aggregate–for example, the amount given by individual donors over a period of time. If a funder or potential funder asks for specific detail, Haven Housing may provide donor/funder names unless the donor/funder has requested anonymity, in which case the donor/funder name would be reported as anonymous.

Other than to its employees, contractors, volunteers, and affiliated organizations, as described above, Haven Housing discloses personally-identifying information only in response to a subpoena, court order or other governmental request, or when Haven Housing believes in good faith that disclosure is reasonably necessary to protect the property or rights of Haven Housing, third parties, or the public at large.

While we have policies and processes in place to keep personally identifiable information secure, nothing transmitted over the internet is perfectly protected. We will communicate with affected parties, if contact information has been provided, if ever there is a privacy or security concern related to a donor, potential donor, or volunteer’s personally identifiable information.

Donation Processing: Haven Housing uses Blackbaud Merchant Services (BBMS) for processing donations made online. Blackbaud is validated as a Level 1 service provider and payment processor by the PCI Standards Council, meaning they have met the industry’s most stringent data security requirement. Haven Housing does not store credit or debit card, electronic wallets, or banking information. We will never charge a credit or debit card, electronic wallet, or bank account without authorization. Authorization is provided when donors set up a gift online or provide written or verbal authorization.

For donations made by check and mailed to Haven Housing, the organization keeps them secured in a safe until they are deposited at the bank. Haven Housing keeps copies of donation checks for seven years as required for finance and audit purposes.
